Meeting Planning Committee

Meeting Planning Committee Charge:  This committee is responsible for coordinating the development and implementation of the Organization's annual meeting. 

2005 DRAFT Goals and Objectives:

1. Select the Program Vice Chair and Arrangements Vice Chair.  Establish specific goals and timelines for each.
2. Recruit additional members who are willing to assist in developing the agenda, program, location, sponsorships, and partnerships, and other aspects of the 2005 OFWIM meeting.
3. Arrangements Goals:
   1. Select a location and venue for the 2005 meeting by November 30, 2004.
   2. Work with the Program Vice Chair to determine meeting room needs.
   3. Negotiate with the venue to obtain the needed meeting space, meals, breaks, and other required services at the most advantageous price for OFWIM.
   4. Arrange for a block of sleeping rooms at advantageous room rates to at least the early registration deadline.  Find out what happens to prices after the deadline.
   5. Arrange for Internet access at the venue for the Hacker's Ball and possibly for the technical sessions, if needed.
   6. Develop the contract with the venue for signature by the OFWIM President. 
4. Program Goals:
   1. Work with the Executive Committee (ExCom) to develop a theme for the 2005 meeting.
   2. Develop the program agenda for the conference and arrange for speakers.
   3. Arrange for entertainment at the meeting banquet.
   4. Develop plans for the annual raffle, including donation of prizes and organization of the raffle at the meeting.
   5. Work with the Arrangements Vice Chair to ensure that meeting space needs are met. 
5. Participate in ExCom conference call meetings to provide reports on progress.
6. Oversee the conduct of the technical program at the 2005 OFWIM meeting.
